    Subject: Action Required – Please Reconfigure Your Email Account


    What Happened

    We recently migrated our company email system to a new Microsoft 365 environment. As part of this transition, your email account has been moved to a new server. Your email address remains the same, but your device needs to be updated to connect to the new system.


    What You Need To Do

    For Windows (Outlook Desktop)

    1. Close Outlook completely
    2. Open Control Panel → Mail
    3. Click Show Profiles → select your profile → click Remove
    4. Click Add to create a new profile
    5. Enter your full email address and click Connect
    6. Enter your new password (provided by IT) when prompted
    7. Complete the setup and open Outlook
    8. Allow time for your mailbox to sync

    For Mac (Outlook for Mac)

    1. Open Outlook → click Outlook in the menu bar → Preferences
    2. Click Accounts
    3. Select your email account and click the minus (–) button to remove it
    4. Click the plus (+) button to add a new account
    5. Enter your email address and new password
    6. Follow the prompts to complete setup

    For iPhone/iPad

    1. Go to Settings → Mail → Accounts
    2. Tap your Exchange or Microsoft 365 account
    3. Tap Delete Account
    4. Go back to Accounts → Add Account → Microsoft Exchange
    5. Enter your email address and new password
    6. Tap Next and allow the account to configure automatically

    For Android

    1. Open Settings → Accounts (or Passwords & Accounts)
    2. Tap your Exchange/Outlook account
    3. Tap Remove Account
    4. Open the Outlook app (or your mail app)
    5. Tap Add Account and enter your email address and new password
    6. Follow the prompts to complete setup

    Important Notes

    • Your new password: If you have not received your new password, please contact IT before proceeding.
    • Saved drafts: Any unsent drafts stored only on your device may be lost. If you have important drafts, please save them as a document before removing your account.
    • You may be prompted to sign in again on Teams, OneDrive, or other Microsoft apps – use your email and new password.
